Billing Supervisor

The Billing Supervisor is responsible for supervision and coordination of workflow for a team of Billing Specialists.  The Supervisor will ensure that the team adheres to client billing procedures to include editing, adjustments, and delivery of client bills and will ensure proper reconciliation and set-up of matters and clients, as well as the preparation and sending of all client billing.  This individual will be responsible for identifying and resolving billing and e-billing issues, as well as generating comparison reports and budgets as needed.  

Responsibilities include, but are not limited to:

  • Act as first point of contact to resolve billing issues, inquiries from client and lawyers when issues ariseSupervise Billing Specialists in local office
  • Monitor and balance the workloads of the local office billing team
  • Ensure that all monthly billing deadlines are met
  • Coordinate time off and approval of timecards
  • Perform staff reviews and performance evaluations in collaboration with Billing Manager
  • Communicate with Billing Manager, Accounting personnel, and all firm personnel
  • Organize meetings with Billing Specialists and Billing Manager, as needed
  • Administer requested changes made by the Bill Approver, including, editing narrative, write ups, write downs, etc. 
  • Review and execute client guidelines, insure exception rates and costs are set up correctly 
  • Process adjustments, verify totals and bill the proformas 
  • Deliver invoice to client either by mail/e-mail or e-bill
  • Address inquiries from clients in a timely manner and internal clients 
  • Resolve client billing issues the client may have
  • Prepare required monthly WIP reports, accruals and budgets 
  • Support accounts receivable, as necessary

Qualifications and job related skills:

  • 10+ years of experience with billing and/or supervisory experience
  • Experienced with Excel, Word, and Outlook
  • Strong written and verbal communication skills
  • Bachelors or Associate degree, preferred but not necessary
  • Law firm or professional services electronic billing experience
  • Ability to communicate effectively with lawyers, team members, and firm personnel
  • Superior customer service skills 
  • Strong attention to detail and a self-starter 
  • Maintain a professional demeanor, a positive attitude, and a high degree of confidentiality
  • Ability to multi-task and meet deadlines in a fast-paced business environment
  • Flexibility working within the firm’s defined deadlines and lawyers’ time frames
  • Must have a professional, cooperative, and positive attitude
