Human Resources Assistant

The Human Resources Assistant in the Houston, Texas office will provide administrative support to functional areas of Human Resources including timecard administration, recruitment and on-boarding, expense management, meeting coordination, and project support. The ideal candidate will be a self-starter with the ability to work under minimal supervision.

This position reports to the Human Resources Generalist, however, supports the department as a whole to accomplish initiatives and objectives in support of the overall business plan and strategic direction of the firm.  This is a full-time position working 37.5 hours per week with some overtime required.

Additional responsibilities include but are not limited to:

  • Assist with new employee orientation to ensure employees gain an understanding of all firm resources throughout their first ninety days of employment
  • Provide support for business services recruiting, including sourcing, candidate screening and reference checks
  • Process timecards of firm legal support and business services staff and ensuring timely completion; answer time entry-related questions from employees and managers, investigate timecard issues; and train new supervisors to approve timecards
  • Serve as backup for HRIS data entry, including new hire and termination processing, E-verify and background check submissions
  • Draft job descriptions and maintain and update US business services organization charts
  • Scan documents into HR system and verify electronic personnel files
  • Respond to verbal or written employment verifications
  • Submit department-wide expense reimbursements and vendor payment requests
  • Assist Payroll with garnishment payments by using Expert Pay and Expense Manager
  • Coordinate parking and transportation for the Houston office personnel
  • Provide administrative support to all Human Resources functional areas
  • Answer incoming calls and visitors and direct questions to appropriate HR personnel
  • Document guidelines and best practices for tasks assigned
  • Assist with on-going projects, as needed


  • Bachelor’s degree preferred; high school diploma required
  • Minimum 1 year of human resources or professional experience, a plus
  • Spreadsheet and database or HRMS experience a plus
  • Demonstrate good judgment and accountability for delivering excellent service
  • Possess excellent interpersonal and communications skills; both written and oral
  • Highly organized exhibit a high level attention to detail
  • Professionalism, personal integrity and high degree of confidentiality
  • Flexibility and ability to adapt in an ever changing environment, including the ability to prioritize
  • Strong computer and technical skills and advanced user in Microsoft Office
