The Legal Secretary in the San Antonio office will support up to four lawyers, including the U.S. Chair of the firm.  The ideal candidate will have experience in supporting senior-level lawyers specifically in the areas of tax, real estate and occasionally trust and estates.  While this is a key role reporting to the U.S. Chair, this individual must also be able to apply necessary knowledge and skills to support additional mid-to-senior-level lawyers on the team.  The individual in this role must possess and apply strong administrative support skills.  To be successful in this role, the individual should demonstrate a positive attitude, adhere to the requirement of confidentiality, take initiative, have integrity, and be highly dependable.

Responsibilities include, but are not limited to:

  • Work closely with the U.S. Chair by coordinating administrative details related to scheduling and making travel arrangements including air, hotel, car and associated travel details; maintaining a busy calendar, and coordinating the U.S. Chair’s schedule with other stakeholders in the firm
  • As a legal secretary, must be experienced in document production, including formatting, editing, and finalizing correspondence, memoranda, and related legal documents
  • Maintain organization of client files, including electronic files in the firm’s document management system (FileSite)
  • Prepare and process new client/new matter forms, along with conflicts searches and preparation of engagement letters
  • Proofread all documents, correspondence, memoranda for content, grammar, and accuracy, including reviewing bills in final form for accuracy
  • Upload/download documents to electronic format
  • Coordinate annual processing of State Bar of Texas renewals and San Antonio Bar dues for the San Antonio office
  • Conduct Internet research on various websites, as requested
  • Manage expenses including preparation of online expense reimbursement requests
  • Perform other work related duties as assigned


  • Minimum of three to five years of experience supporting a team of lawyers, including at the executive level is preferred
  • Proficient with Microsoft Office Suite
  • Excellent organizational skills and high attention to detail
  • Strong written and verbal communication skills

  • Ability to work harmoniously and effectively both independently and with others as part of a team
  • Self-starter who is committed to the job, with flexibility to work overtime as needed
