Office Services Assistant

The position in our Dallas, Texas office requires a dependable candidate who is a self-starter with the ability to provide a high-level of customer service.  This position requires strong communication and interpersonal skills and will be expected to interact with lawyers, staff and guests of the firm.

Regular work hours for this position are 10:30 AM – 6:30 PM.

Responsibilities include but are not limited to:

  • Maintain cleanliness and stock of conference rooms, kitchens and break rooms
  • Assist persons utilizing the Conference Center facility by performing a variety of tasks such as setting up conference rooms as required (tables, chairs, auxiliary equipment, beverages, food, snacks, etc.), directing people to correct conference rooms, and performing light household cleaning after events
  • Prepare, deliver and setup of beverage services for meetings
  • Serve as host and support of firm events in and out of the office (holiday party, charitable events, client receptions, etc.)
  • Maintain inventory of conference services china, linens, glassware and flatware
  • Monitor and respond to phone, email and online requests for conference room reservations
  • Monitor supply rooms to ensure inventory items are stocked, neat and orderly
  • Some physical requirements (lifting up to 40 pounds, pushing carts, floor runs, etc.)
  • Assist with projects as assigned by supervisor or requested by internal clients including mail outs and special projects
  • Work with various caterers to place orders, process payments and coordinate pick-up or delivery
  • Fill-in reception duties including greeting visitors, answering incoming calls, and assisting with concierge type requests

Qualifications:

  • Minimum of one year relevant experience
  • High school degree or equivalent preferred
  • Customer service driven individual with excellent verbal communication, interpersonal skills and positive attitude
  • Attention to detail and the ability to work in a fast paced environment while maintaining a calm demeanor
  • A high regard for confidentiality is essential
