Evening Administrative Assistant

The evening administrative assistant in our New York office will support a busy lawyer by performing analytical, clerical and administrative duties.  This position requires a candidate who can demonstrate a positive attitude and strong judgment.  The ideal candidate will take initiative, have integrity and will be dependable.

The regular work hours for this position are 1:00 p.m. to 8:00 p.m.  Overtime and flexibility in schedule is required.

Responsibilities include, but are not limited to:

  • Review and summarize a large volume of email correspondence
  • Prepare, revise and finalize email and other outgoing correspondence
  • Answer incoming calls and return calls to clients, as needed
  • Reserve conference rooms and order catering via online booking system
  • Maintain organization of projects and files, including electronic files in the firm’s document management system (FileSite)
  • Prepare office for next day, including preparation of meeting and other work folders
  • Routine drafting of correspondence to the Board of Directors
  • Calendar management
  • Maintaining phone contacts and legal directory
  • Daily time records
  • Coordinate domestic and international travel arrangements, including air, hotel, and car
  • Send packages of work home or to another specified location
  • Manage expenses including preparation of online expense reimbursement requests
  • Some personal work
  • Perform other work related duties as assigned


  • Bachelor’s Degree, preferred
  • Minimum five years of law firm or professional services experience is preferred
  • Proficient with Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
  • Excellent organizational skills and attention to detail
  • Strong communication skills, both written and verbal
  • Good analytical and problem solving skills
  • Ability to work harmoniously and effectively with others as part of a team
  • Self-starter who is committed to the job, with flexibility to work overtime as needed
  • Exercises confidentiality and discretion
  • Maintains a calm and professional demeanor at all times
  • Demonstrates good judgment and good interpersonal skills
  • Ability to travel when required, potentially to Stamford, CT
