The Secretary in the Austin, TX office will support lawyers by performing clerical and administrative duties.  This position requires a candidate who can demonstrate a positive attitude and strong judgment.  The ideal candidate will have excellent organizational skills, attention to detail, and an ability to respond well to demands under pressure.

This position supports lawyers and paralegals within the Real Estate practice area. This individual may serve as a first point of contact with clients, title companies, and third parties to prepare transactional documents, as well as provide requested information and materials.

Overtime and flexibility in schedule may be required from time to time.

Responsibilities include, but are not limited to:

  • Document production, including formatting, editing, and finalizing correspondence, memoranda, etc.
  • Maintain organization of client files, including electronic files in the firm’s document management system (FileSite)
  • Prepare and process new client/new matter forms, along with conflicts search and preparation of engagement letters
  • Review and finalize monthly client invoices, as necessary
  • Monitor status of outstanding client invoices and timely submit appeals for underpaid amounts, as necessary
  • Proofread all documents, correspondence, etc. for content, grammar, and accuracy
  • Maintain lawyers calendars
  • Upload/download documents to electronic format
  • Internet research on various websites, as requested
  • Coordinate travel arrangements, including air, hotel and car, for lawyers as requested
  • Manage expenses including preparation of online expense reimbursement requests
  • Serve as the liaison to clients via verbal and email correspondence as directed
  • Perform other work related duties as assigned


  • Minimum five years of law firm or professional services experience preferred
  • Exposure to corporate law or real estate preferred
  • Proficient with Microsoft Office Suite
  • Excellent organizational skills and attention to detail
  • Strong communication skills, both written and verbal
  • Experience working with lawyers in international legal practices
  • Good analytical and problem solving skills
  • Ability to work harmoniously and effectively with others as part of a team
  • Self-starter who is committed to the job, with flexibility to work overtime as needed
  • Exercises confidentiality and discretion
  • Maintains a calm and professional demeanor at all times
  • Demonstrates good judgment and good interpersonal skills
